HOPE: Thanks for calling Maple Street Chiropractic, this is HOPE, the clinic's virtual assistant. How can I help you tonight?

Daniel: Hi. I know it's late. I hurt my lower back moving a couch this weekend, and I was hoping to get in to see someone.

HOPE: I'm sorry to hear that. I can help you book a first visit. Have you been to Maple Street Chiropractic before?

Daniel: No, this would be my first time.

HOPE: Welcome. A first visit takes about an hour. Dr. Patel has an opening tomorrow at nine thirty in the morning, or at four fifteen in the afternoon. Would either of those work?

Daniel: The morning would be great. Nine thirty.

HOPE: Perfect. Can I get your first and last name?

Daniel: It's Daniel Brooks.

HOPE: Thanks, Daniel. Is the number you're calling from the best one for a text confirmation?

Daniel: Yes, that's my cell.

HOPE: Great. You're booked with Dr. Patel tomorrow at nine thirty in the morning. I'll text you a confirmation now. Please plan to arrive about ten minutes early. Is there anything else I can help with?

Daniel: No, that's it. Thanks so much.

HOPE: You're welcome, Daniel. Take it easy tonight, and we'll see you tomorrow.

HOPE: Thanks for calling Maple Street Chiropractic, this is HOPE, the clinic's virtual assistant. How can I help?

Priya: Hi, it's Priya Singh. I have an appointment on Thursday at five, and something came up at work. Could I move it?

HOPE: Of course, Priya. I see your appointment with Dr. Patel on Thursday at five in the afternoon. Would you like to stay with Dr. Patel?

Priya: Yes, please, if that's possible.

HOPE: Dr. Patel has Friday at eight fifteen in the morning, or Saturday at ten thirty. Does either of those suit you?

Priya: Saturday at ten thirty is better.

HOPE: Done. I've moved you to Saturday at ten thirty with Dr. Patel, and your Thursday spot is now open for someone else. You'll get a text with the new time in a moment, and a reminder the day before.

Priya: Oh, perfect. That was easy.

HOPE: Glad I could help. Is there anything else I can do for you today?

Priya: Nope, that's everything.

HOPE: Have a great week, Priya. See you Saturday.

First-visit questions

A new patient is booked for Monday and wants to know what to expect.

HOPE: Thanks for calling Maple Street Chiropractic, this is HOPE, the clinic's virtual assistant. How can I help?

Mark: Hi there. I've got my first appointment on Monday, and I just had a few questions. What should I wear?

HOPE: Great question. Comfortable clothes you can move in are best, like athletic wear or loose pants. If you can, skip the jeans and belts.

Mark: Okay. And how long will I be there?

HOPE: Plan on about an hour for a first visit. That leaves time for your health history, an assessment, and a chance to talk things through with the doctor.

Mark: Is there parking?

HOPE: Yes. There's free parking behind the building, and the entrance is off the back lot. There's also street parking on Maple Street.

Mark: Good to know. Should I bring anything?

HOPE: Please bring a photo ID and a list of any medications you take. If you have recent X-rays or imaging reports, bring those too.

Mark: Great, that's really helpful.

HOPE: You're welcome. You'll get a reminder text the day before. Is there anything else I can help with?

Mark: No, I think I'm all set.

HOPE: Wonderful. We'll see you Monday.

A clinical question: HOPE hands off to the team

A patient calls after hours with a new symptom. HOPE doesn't give advice; she gets the message to the team and says what to do if it's an emergency.

Read the transcript

HOPE: Thanks for calling Maple Street Chiropractic, this is HOPE, the clinic's virtual assistant. How can I help?

Helen: Hi. I saw Dr. Patel last week for my neck, and since yesterday I've had some numbness down my arm. Should I keep doing my stretches, or stop?

HOPE: Thank you for telling me. I'm not able to give medical advice, but I want to make sure the right person hears this. Can I get your name?

Helen: It's Helen Tremblay.

HOPE: Thanks, Helen. I'm sending your message to Dr. Patel's team now, marked urgent, so someone can call you back as soon as the clinic opens in the morning.

Helen: Okay. I'm just a little worried.

HOPE: I understand. If anything gets worse, or if it feels like an emergency, please call nine one one or go to the nearest emergency department right away. Don't wait for a call back.

Helen: Okay, I will.

HOPE: Is the number you're calling from the best way for the team to reach you?

Helen: Yes, that's the best one.

HOPE: Got it. Your message is with the team, and they'll call you first thing. Take care, Helen.
